Administrative Specialist

- Managing Employee Travelling, including visitors Travel.
- Manage office equipment and supplies, and ordering new equipment and supplies as needed.
- Work collaboratively with other departments to help solve clerical issues.
- Assist MD APAC and GM Thailand to manage travelling, meeting. scheduling event or activities.
- Schedule meetings and appointments for Country level activities, including Logistics arrangement and relevant document preparation.
- Update and maintain company administrative policies.
- Organize the office layout and order stationery and equipment.
- Maintain the office condition and arrange necessary repairs.
- Coordinate with IT department on all office equipment.
- Ensure that all administrative expenses are invoiced and paid on time.
- Support Head of HR in manage contract and price negotiations with office vendors, service providers.
- Support Head of HR for office G&A budget, ensure accurate and timely reporting.
- Address employees queries regarding office management issues (e.g., stationery, Hardware and travel arrangements)
- Reservation for air ticket, travel visa, hotel, transportation, and relevant documents.
- Support Head of HR in the public communications.
- Plan in-house or off-site activities, like parties, celebrations, and conferences.
- Supervise executive drivers and office maid.
- Perform other tasks as required and as instructed by superior.
- General knowledge in visa, work permit and other documents necessary for foreigners to legally stay and work in ALPLA Thailand.
- Proven experience as an Office Management, Front Office Manager or Administrative Assistant.
- Knowledge of Office Administrator responsibilities, systems, and procedures.
- Proficiency in Microsoft office programs, Outlook, Acrobat, Internet Explorer.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Business English language skills and ability to translate documents from Thai to English and English to Thai to support HR & GM. (TOEIC Score 750 or above)
- Strong organizational and planning skills in a fast-paced environment.
- A creative mind with an ability to suggest improvements.
